On-line Application Guide for Foreign University Users

1. Background of the System The SQA HND Students Information Management System (hereafter referred to as THE SYSTEM) is specially designed for SQA HND programmes for the purposes of managing students’ data effectively, improving work efficiency, and hence standardizing services. It is a comprehensive system consisting of the functional modules of Students’ Basic Information management, Teaching & Learning management, Overseas Studies On-line Application, and Visa Application, etc.

The Overseas Studies On-line Application module is one of the main functional modules specially designed for the students who aim to study at the collaborating foreign universities. The students can hand in “conditional offer” and “unconditional offer” applications by this system and upload necessary documentations. And the foreign university users are able to check the information of the applicants and make the decision of acceptance on-line.

2. System Users According to the requirements of the system design, it contains the following users. l SQA HND Student User l Chinese University User l Foreign University User l System Administrator User |

3. Offer Application Procedures of SQA HND student user This is written to clarify the procedures of student users will do for the offer application. |

|
Firstly, the HND students get to know the information of the foreign universities as much as possible by means of Mini Fairs, websites, presentations as well as the publications from CSCSE and the foreign universities. They should be very clear about the entry requirements as well as the general information of the universities that they are interested in before they preliminarily select a university to top up.

Secondly, the HND students can apply the Conditional Offers during the third semester of their HND study from the beginning of December to the end of January of the next year (01/12—31/01). Every HND students can apply to three universities via THE SYSTEM. |

Thirdly, the HND students apply for the Unconditional Offer in the final semester of their study. The application procedures will be divided into the following two stages. l 1st to 30th of March: Choose the only one university as the target via THE SYSTEM. l 20th of May to 10th of June: Upload the scanned certified documents like HND Transcript and IELTS Report Form to THE SYSTEM. At the same time, the applicants choose the pre-sessional English language courses according to their language level. We recommend the pre-sessional courses as follows.

Finally, the HND students can check the application status from THE SYSTEM and download the Conditional Offers issued from the applied universities.

Note: the users can check the forms to see the information any time but they can make the decision of Acceptance and Rejection only during the terms specified as above.

(5) Operation Procedures |

|
Step 1: Logon After getting the user name and password, the users can logon by the websites of www.sqahnd.cn/manage/index2.aspx. As enter into THE SYSTEM, you might see the page as follows, which shows the functional button on the left row and the list of applicants on the right.
Note：The system user should enter the user name, password and passcode correctly when logging on the SYSTEM. The SYSTEM may close for half an hour if the user entered wrong information for three times continually. The user can log on the SYSTEM after half an hour. |

Step 2: Modify the user profile At the following page, you can enter to modify the profile of your university by pressing the button of “SETUP”. We do recommend you modify the password as you log on at the first time. The email will be used as the main way of the information reminding from THE SYSTEM. |

Step 3：Application Checking By pressing the buttons of “Application Management” and “New Application”, you might find the list of the new applicants to your university. You also can find the brief information of the applicant from the list as the name, sex, date of birth and application type. If you need to know the details, you continue to the Step 4.
|

Step 4: Checking the Application Form The user can see the detailed information of the applicant by pressing the button “Response” on the right of the list. The details the application needed will be contained in the forms. |

The application form mainly includes the following information. |
|
l Course applied for According to the SQA HND Matching Schedule provided from the foreign university and the HND majors that the applicant is studying, it shows the right Bachelor’s course that the students would like to study. |
|
l Personal Details It contains the basic information of the applicant as the name, sex, address of correspondence, contact number, etc. |
|
l Education Background You may find the necessary information as IELTS score, finished HND subject scores, HND major, Chinese university, etc. |
|
l Reference As recommended, it requires the applicant provide the details of two teachers. |
|
l Personal Statement The applicant will describe himself here by answering three questions |

Step 5: Confirming the Application, Issuing or upload the offer letter
|
|
During the term of SYSTEM opening to the foreign university users, you will see the “Official Decision” in every application form. The university can make the decision for the application as the status of “Accept”, “Reject” or “Pending Decision”. The data of the applicants will be moved to the related documents after specifying the status.

|
At the same time, the university also can write some attention in the blank of “Note” as the entry requirements, which will be showed to the applicants. |
|
Please issue or upload the offer letters by the 15th of April if the conditional application is accepted. |
|
Step 6: Export the Applicants’ Information By pressing the button of “Export Student Infor”, you can export the information of accepted students into the document in EXCEL, which includes the family name, given name, gender, date of birth, course applied and address of correspondence.

Others: Information Query By pressing the button of “Application Query”, the users can search the details of the applications if you choose the conditions as below.

The users also can divide the different type of the applications by the conditions of the top line of in the page of the “Application Management”.
